Case Assignment
Give every whistleblowing case a named owner. Assign and reassign cases to team members; every change is recorded in the audit trail.
Give every case a named owner, so it is always clear who is responsible for acknowledging the reporter, following up and recording the outcome.
Assigning a case
- Open the report from the dashboard.
- Choose a team member as the assignee.
- The assignment is saved and recorded in the audit trail.
Reassign a case the same way when responsibility changes, for example if the assigned handler is conflicted or unavailable. Each change is logged with who made it and when.
Who can be assigned
Any member of your Disclosurely team who handles reports. Every case handler can see all of your organisation's reports, so keep the team to the trained, impartial people who should handle them.
Knowing when a report arrives
When a report is submitted, the people on your team who handle reports receive a new-report email alert (without the report content), so someone can pick it up and assign it promptly.
Automatic assignment
Assignment rules can assign a report when it is submitted. They are in beta with known limitations, so always check that each new case has the right owner. There is no round-robin distribution or workload balancing.
Good practice
- Assign new reports on the day they arrive.
- Avoid assigning cases to anyone involved in, or close to, the matters reported.
- Keep the case status up to date so the reporter can see progress.
- Review unassigned and open cases regularly.
