Viewing Your Subscription

Navigate to Settings > Billing to view:

  • Current plan
  • Billing cycle
  • Next billing date
  • Usage statistics
  • Invoice history
  • Payment method

Upgrading Your Plan

Upgrade to Pro

  1. Go to Settings > Billing
  2. Click "Upgrade to Pro"
  3. Enter payment information
  4. Review pricing (£39.99/month)
  5. Click "Confirm Upgrade"

What Happens:

  • Immediate access to Pro features
  • Prorated charge for current month
  • Billing cycle starts from upgrade date

Upgrade to Enterprise

  1. Click "Contact Sales" in billing settings
  2. Complete inquiry form
  3. Schedule consultation call
  4. Receive custom quote
  5. Sign agreement
  6. Account upgraded

Downgrading Your Plan

To downgrade from Pro to Basic:

  1. Navigate to Settings > Billing
  2. Click "Change Plan"
  3. Select Basic
  4. Confirm downgrade
  5. Takes effect at end of billing cycle

Important:

  • Access to Pro features until cycle ends
  • Custom branding removed
  • Custom domains disabled
  • AI features locked
  • Report history retained

Managing Payment

Update Payment Method

  1. Go to Settings > Billing
  2. Click "Update Payment Method"
  3. Enter new card details
  4. Click "Save"
  5. New method used for next billing

Payment Methods Accepted

  • Credit/Debit Cards (Visa, Mastercard, Amex)
  • Apple Pay
  • Google Pay
  • Bank Transfer (Enterprise, annual billing)

Billing & Invoices

View Invoices

Access all invoices:

  1. Navigate to Settings > Billing > Invoices
  2. View invoice list with:
    • Invoice number
    • Date
    • Amount
    • Status (Paid, Pending, Failed)
  3. Download PDF for accounting

Failed Payments

If payment fails:

  1. Email notification sent
  2. Retry attempt after 3 days
  3. Second retry after 7 days
  4. Account suspended if still failing
  5. Update payment method to resolve

Account Suspended:

  • Reporting portal disabled
  • Cannot access dashboard
  • Data preserved
  • Reactivated upon payment

Current Usage

View usage statistics:

Reports:

  • Total reports this month
  • Remaining allowance (Basic plan)
  • Historical usage trends

Team Members:

  • Active team members
  • Available seats
  • Additional seat costs

AI Conversations:

  • AI conversations used (Pro plan: 100/month)
  • Remaining allowance

Exceeding Limits

Basic Plan - Report Limit:

  • 10 reports per month included
  • Upgrade to Pro for unlimited
  • Cannot submit reports once limit reached

Pro Plan - Team Seats:

  • 5 seats included
  • Additional seats: £5/user/month
  • Add/remove seats anytime
  • Prorated billing

Canceling Your Subscription

To cancel your Pro subscription:

  1. Navigate to Settings > Billing
  2. Click "Cancel Subscription"
  3. Provide feedback (optional)
  4. Confirm cancellation

What Happens:

  • Access continues until cycle ends
  • No further charges
  • Downgraded to Basic at renewal
  • Data preserved for 90 days

Data After Cancellation

90-Day Grace Period:

  • All data accessible (read-only)
  • Can export data
  • Can reactivate subscription
  • No charges during grace period

After 90 Days:

  • Data permanently deleted
  • Cannot be recovered
  • Export data before deletion
